1. WHO WE ARE
Etheria Holistics ("we", "us", "our") is the data controller responsible for your personal data collected through etheriaholistics.com.
Trade name: Etheria Holistics
Address: 25A Mornington Crescent, London, NW1 7RE, United Kingdom
Email: etheriaholistics@gmail.com
This policy explains what personal data we collect, why, how we use it, and the rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. WHAT DATA WE COLLECT
We collect the following categories of personal data:
- Contact details: name, email address, postal address, phone number
- Order information: items purchased, order value, payment confirmation (we do not store full card numbers — these are processed securely by our payment provider)
- Account information: if you create an account, your login details and order history
- Communications: messages you send us via email or contact forms
- Marketing preferences: whether you've opted in or out of emails
- Technical data: IP address, browser type, device information, and cookie identifiers when you browse our site
- Usage data: pages viewed, products browsed, time spent on site
3. HOW WE USE YOUR DATA AND OUR LEGAL BASIS
We only use your data where we have a valid legal basis to do so:
- To fulfil your order (contract): processing payment, arranging shipping, handling returns
- To respond to enquiries (contract / legitimate interest): customer service
- To send you marketing emails (consent): only if you've opted in; you can withdraw this consent at any time (see Section 8)
- To improve our website and product range (legitimate interest): analysing browsing and sales trends
- To comply with the law (legal obligation): tax records, customs declarations, fraud prevention
- To set non-essential cookies (consent): via the cookie banner on our site
4. COOKIES
Our site uses a cookie consent tool to manage this in line with UK/EU law. When you visit, you're asked to accept or decline non-essential cookies (such as analytics and marketing cookies). Strictly necessary cookies (e.g. those required for the shopping cart and checkout to function) don't require consent and can't be switched off.
You can change your cookie preferences at any time using the cookie settings link in our site footer, or through your browser settings.
5. WHO WE SHARE YOUR DATA WITH
We share data only where necessary, with:
- Shopify Inc., our e-commerce platform provider, which hosts our store and processes orders
- Payment processors, to securely handle transactions (we never see or store your full card details)
- Shipping couriers, to deliver your order — this means sharing your name and delivery address
- Email service providers, if you've opted in to marketing
- Our cookie consent management provider, which processes your IP address and consent choices to keep a compliant record
- Government or law enforcement bodies, where we're legally required to
We do not sell your personal data to third parties.
6. INTERNATIONAL TRANSFERS
Some of the providers above (including Shopify) may store or process data outside the UK/EEA. Where this happens, we rely on appropriate safeguards such as Standard Contractual Clauses to ensure your data remains protected to UK GDPR standards.
7. HOW LONG WE KEEP YOUR DATA
- Order and transaction records: kept for 6 years to meet UK tax and accounting obligations
- Marketing data: kept until you unsubscribe or withdraw consent
- Account data: kept while your account is active, or deleted on request
- Enquiry/correspondence data: kept for as long as reasonably needed to resolve your query, then deleted
8. YOUR RIGHTS
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request deletion of your data ("right to be forgotten"), subject to legal retention requirements (e.g. we may need to keep tax records regardless)
- Restrict or object to certain processing
- Receive your data in a portable format
- Withdraw consent at any time, where we rely on consent (e.g. marketing emails, non-essential cookies) — this won't affect the lawfulness of anything done before you withdrew it
To exercise any of these rights, email etheriaholistics@gmail.com. We'll respond within one month.
Note: withdrawing consent is different from cancelling an order. If you want to return or cancel a purchase, see our separate Refund Policy, which covers your 14-day cooling-off right under UK consumer law.
9. YOUR RIGHT TO COMPLAIN
If you're unhappy with how we've handled your data, you can complain to the UK's data protection regulator:

10. CHILDREN
Our products are intended for adults only. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us so we can delete it.
11. CHANGES TO THIS POLICY
We may update this policy from time to time, for example to reflect changes in the law or our practices. The "Last updated" date at the top shows when it was last revised. We encourage you to review it periodically.
